Job DescripionRubicon Archaeology is seeking a highly organised and proactive Commercial Project Administrator to support our project teams with essential administrative tasks. This role is ideal for someone who enjoys working behind the scenes to ensure projects run smoothly, from booking accommodation and managing travel logistics to coordinating purchasing and maintaining accurate records. You’ll work closely with Project Managers and other departments to provide reliable administrative support across multiple projects. The successful candidate will be detail-oriented, solutions-focused, and capable of managing multiple tasks with efficiency and professionalism.
Summary of essential job functions
Procurement Support: Assist with purchasing supplies and equipment for projects, including supplier setup and liaison.
Project Setup & Administration: Support the setup of new projects in internal systems, ensuring all documentation and logistics are in place.
Data Entry & Record Keeping: Maintain accurate records of project costs, staff timesheets, and supplier invoices.
Communication & Liaison: Act as a point of contact between project teams, suppliers, and logistics staff to ensure smooth operations.
Cost Tracking & Reporting: Help monitor project budgets and expenditures, updating trackers and summaries for Project Managers and Finance.
Compliance & Documentation: Ensure all administrative processes comply with company standards and the Integrated Management System (IMS).
General Administrative Support: Provide day-to-day admin support to Project Managers, including filing, scheduling, and document preparation.
Minimum Requirements
Proficient in Microsoft Outlook, Word, Excel, Access, and Teams
Experience in an administrative role preferred but not essential
Familiarity with project management systems or tools is an advantage
Abilities Required
Strong organisational and time management skills
Excellent communication and interpersonal abilities
Ability to work independently and take initiative
Attention to detail and accuracy in data entry
Problem-solving mindset and a proactive approach
